🌟 Hiring: Manager – Administration & Human Resources

📍 Location: Thane
👤 Reporting To: Managing Director
💰 CTC: Up to ₹12.50 LPA


🎯 Objective of the Role

The Manager – Administration & Human Resources will oversee and manage the complete spectrum of administrative and HR operations for the organization. This role ensures smooth office operations, compliance with statutory regulations, and effective implementation of HR practices.

The incumbent will also drive employee engagement, coordinate with domestic and international stakeholders, and uphold high standards of organizational discipline, hygiene, and efficiency.


🏢 A. Administration Responsibilities

Travel Management

  • Coordinate with travel agencies for domestic & international business travel, accommodation, and transport.

  • Organize business trips, conferences, and foreign visits.

  • Handle visa documentation, invitation & covering letters, travel insurance, and foreign exchange.

Coordination & Documentation

  • Liaise with M&V team for secretarial documentation and compliance.

  • Coordinate client visits, site visits, and meetings with the Germany HQ and Middle East office.

  • Verify and process employee expense claims and reimbursements.

  • Coordinate with HQ for training schedules, travel, and accommodation planning.

Regulatory, Compliance & Asset Management

  • Manage AMCs for office assets (ACs, printers, company vehicles, etc.).

  • Ensure renewal of property and employee insurance policies.

  • Oversee payroll coordination and disbursement in collaboration with the finance team.

General Administration

  • Supervise procurement and issuance of IT equipment and office assets.

  • Manage access cards, ID cards, and business cards.

  • Oversee housekeeping, pantry, utilities, and facility maintenance to ensure workplace hygiene.

  • Handle vendor management and day-to-day administrative needs.


👥 B. Human Resources Responsibilities

Recruitment & Onboarding

  • Coordinate with management and HR consultants for recruitment and interviews.

  • Handle end-to-end joining and exit formalities.

  • Prepare Offer, Appointment, Confirmation, and Relieving Letters.

Employee Engagement & Communication

  • Plan and organize engagement events, celebrations, and team-building activities.

  • Maintain calendars for birthdays, festivals, and organizational milestones.

Attendance & Leave Management

  • Monitor attendance and leave records to ensure accuracy for payroll and compliance.

HR Documentation & Record Management

  • Maintain employee files and HR documentation (digital & physical).

  • Ensure compliance and confidentiality of HR records.

Performance Management

  • Coordinate the Performance Management Documentation (PMD) process.

  • Facilitate and record 360° internal feedback processes.


📚 C. Key Requirements

Education:

  • Bachelor’s Degree in Business Administration / Human Resources (Master’s preferred).

Experience:

  • 8–10 years of experience in Administration & HR, preferably in a Manufacturing or Engineering setup.

Skills & Competencies:

  • Strong interpersonal, coordination, and communication skills.

  • Excellent organizational & multitasking abilities.

  • Proficiency in MS Office and knowledge of HRMS / ERP systems.

  • Attention to detail, integrity, and confidentiality.

Behavioral Competencies:

  • Ownership & accountability.

  • Problem-solving and decision-making skills.

  • Adaptability with a proactive approach.

  • Ability to independently manage end-to-end Admin & HR activities.
